The registration list is your event operations hub

Once people start signing up, the attendee list becomes the place to answer practical questions: who is coming, who needs approval, who is waitlisted, and what details did they provide?

Use the event management view during the days before the event, and export only when you need a working copy outside HereNow.

Manage the list

Open the event from My Events

Go to your dashboard, select the event, and open the management or registrations view.

Review status groups

Look at confirmed, waitlisted, cancelled, checked-in, and approval-related statuses so you know what action is needed.

Search or filter attendees

Use search when you need a specific person, and use status filters when preparing reminders, check-in, or follow-up.

Check in attendees

For in-person events, mark attendees as checked in when they arrive. This creates a cleaner post-event record.

Export CSV when needed

Export the attendee list for offline check-in, host-owned records, team coordination, or operations that need spreadsheet access.

Common registration statuses

Status
Meaning
Confirmed
The attendee has a reserved spot and should receive event updates.
Waitlisted
The attendee wants to join but does not currently have a confirmed spot.
Cancelled
The registration is no longer active. Keep the record for operational history.
Checked in
The attendee arrived or was marked present during the event.
Needs approval
The attendee submitted a request that requires host review before confirmation.

Safe CSV export checklist

Export only the event you need.

Store CSV files in a secure workspace, not random personal folders.

Share exports only with co-hosts or staff who need attendee details.

Do not upload attendee emails into unrelated marketing tools without permission.

Delete old local exports when the event operations window has passed.

Use HereNow as the source of truth when possible.

Attendee data is not a growth toy

Registration data exists to run the event. Treat guest emails, phone numbers, and custom answers as sensitive operational data.

When to export

Export when you need an offline check-in sheet, a backup for a venue team, reconciliation after a paid event, or host-owned records for your own event operations.

If you only need to answer a quick question, use the dashboard instead of creating another copy of the data.
