Privacy that respects the Host relationship.

This policy explains what HereNow collects, how we use it, and how we treat Host and attendee data.

Attendee data belongs to Hosts

Names, emails, and form answers collected for an event are controlled by the Host responsible for that event.

Guest emails are not our marketing list

We use guest RSVP emails for event operations, not platform newsletters or unrelated promotions.

Export and deletion matter

Hosts and users can request access, export, correction, or deletion by contacting us.

1. Information we collect

  • Account information, such as name, email address, profile details, authentication provider, and account settings.
  • Event information, such as titles, descriptions, schedules, locations, images, custom registration fields, attendee capacity, event status, and recap content.
  • Registration information, such as attendee name, email address, optional phone number, custom form answers, registration status, check-in status, and cancellation requests.
  • AI creation information, such as prompts, draft event content, edit instructions, template choices, and generated outputs.
  • Support information, such as messages you send to us, reports, feedback, and related contact details.
  • Technical information, such as device, browser, hashed IP-derived signals, log data, pages visited, approximate location derived from technical data, timezone, language, and security events.

2. Cookies, local storage, and telemetry

  • We use essential cookies and local storage to keep login sessions, security, language preference, return-after-login flows, and product features working.
  • Google Analytics 4 is used across HereNow to measure page views, shares, referral sources, and product performance. It may use cookies and visitor identifiers for aggregate reporting.
  • For signed-in accounts, we may refresh last-seen time, hashed IP, coarse country/timezone signals, and browser language for account security, abuse prevention, operations, and aggregate admin reporting.

3. How we use information

  • To create, host, publish, and manage event pages.
  • To process RSVPs, send registration confirmations, event reminders, cancellation notices, recap notices, and other event-related messages.
  • To provide AI-assisted event drafting, editing, template matching, and copy suggestions.
  • To authenticate users, secure accounts, prevent abuse, debug errors, and maintain platform reliability.
  • To respond to support requests, safety reports, legal requests, and privacy requests.
  • To improve HereNow using aggregated or de-identified usage patterns that do not expose one Host's attendee list to another Host.

4. Host and attendee data ownership

  • Registration data collected through a Host's event form is controlled by that Host. HereNow stores and processes it as the service provider for that event.
  • Attendees also retain rights over their own personal information. If an attendee asks us to access, correct, or delete registration data, we may coordinate with the relevant Host when needed.
  • We do not sell attendee lists. We do not expose one Host's attendee data to another Host.
  • We do not use guest RSVP emails for HereNow platform marketing unless the attendee separately creates a HereNow account or explicitly opts in.

5. How we share information

  • With Hosts, when attendees register for that Host's event.
  • With attendees, when event details, updates, confirmations, or recaps are necessary for the event experience.
  • With service providers that help us operate HereNow, such as hosting, email delivery, analytics, database, storage, authentication, security, and AI infrastructure providers.
  • For legal, safety, and security reasons, when we believe disclosure is required by law or necessary to protect people, rights, systems, or the integrity of the platform.
  • In a business transfer, such as a merger, acquisition, financing, or asset sale, subject to this policy's protections.

6. AI processing

  • HereNow uses AI systems to draft event content, suggest edits, extract event details, and improve event creation workflows.
  • You should not submit sensitive personal information, payment card details, government IDs, medical data, or confidential third-party information into AI prompts.
  • Generated content may be inaccurate or incomplete. Hosts are responsible for reviewing event details before publishing.

7. Retention

  • We keep information for as long as needed to provide HereNow, comply with legal obligations, resolve disputes, prevent abuse, and maintain backups.
  • Hosts may request export or deletion of their event and attendee data. Some information may remain in backups for a limited time or be retained where required by law.

8. Your choices and rights

  • You can request access, correction, export, or deletion of your personal information.
  • You can unsubscribe from non-essential emails where such emails exist. Event-critical emails may still be sent when needed for registrations, reminders, cancellations, or safety notices.
  • You can clear or block analytics cookies through your browser settings or browser privacy tools.
  • You can contact us about privacy requests at tim@herenow.events.

9. Security

  • We use technical and organizational measures designed to protect personal information, including encrypted connections, access controls, validation, and managed hosting infrastructure.
  • No internet service is perfectly secure. If you believe you found a security issue, contact us promptly at tim@herenow.events.

10. Children's privacy

  • HereNow is not intended for children under 13. If you believe a child has provided personal information to us, contact us and we will review the request.

11. Changes to this policy

  • We may update this policy as HereNow evolves. We will update the date above and, when appropriate, provide additional notice.
