Shanghai Let Fans Enter a Brand World. Turn a Sponsor Into a Live Briefing.

BilibiliWorld 2026 drew 400,000 attendee visits to a paid, three-day convention in Shanghai. One PlayStation booth was framed as a place for fans to meet, not a logo to pass. A smaller host can borrow the useful principle with an original Signal Desk: one short, partner-supported live brief that guests actively complete together.

What happened

BilibiliWorld 2026 ran at Shanghai's National Exhibition and Convention Center from July 10 to 12. China News Service Shanghai and Yicai reported 400,000 attendee visits across three days; Yicai also reported 170 exhibitors and more than 700 booths. It was a ticketed commercial convention, not a single sponsored party.

Inside that scale, brands had to make a reason to stop. PlayStation's official day-one recap named its Hall 3 booth the ‘PlayStation Dimension Train’ and described it as a place for fans to meet. The short video shows a themed physical setting and guests gathering around it. It is evidence of that commercial booth, not evidence for the original format proposed below.

The useful observation is modest: a partnership has more value when it creates a place and an action. This article does not reuse BilibiliWorld, Bilibili, PlayStation, the Dimension Train name, games, characters, artwork, hosts, booth layout, ticket rules, footage, or visual identity.

Why people join

Why this event works

At a large commercial convention, a sign has to compete with hundreds of other signs. A named, staffed setting gives a fan an immediate answer to ‘what do I do here?’: enter, meet people who care about the same thing, and take part in a moment that only exists at the event.

A small independent event does not need a scenic build to use that principle. The guest value can be one honest, short brief: choose a track, make or test something with a host, compare it with a few other guests, and decide whether to continue the conversation. The partner pays for a useful experience, not for automatic endorsement.

That distinction matters commercially. A ticket should state what the guest gets, while a partner agreement should state what the partner receives. Neither should quietly turn attendance into a marketing list, a product claim, or a promise of a gift.

Host notes

If you host something similar

Build one original Signal Desk around a real guest question, not a product slogan. A stationery partner might support a 15-minute ‘make the next page readable’ brief; a local tool shop might support a repair-choice desk. Give guests a choice of track at booking or arrival, then place a trained host at each brief rather than relying on self-service signage.

Price the first edition as a small ticketed session with a named inclusion: the live brief, materials needed for that brief, and any stated non-cash follow-up. If a partner provides a sample, discount, mailing list, photo moment, or prize, say so before purchase and keep it optional. Do not make sharing a phone number, a social post, or a brand interaction the condition of basic participation.

Put the commercial edges in writing before promotion. Confirm the partner fee or in-kind value, what the host can and cannot say, product safety and claims, cancellation responsibility, logo use, data handling, photography consent, accessibility support, insurance, refunds, and who owns any guest-made work. Appropriate local advice is still needed before selling tickets or collecting personal data.

Make it yours

The Signal Desk Session

Choose one short live brief, make a low-pressure response with a host and a few guests on the same track, and leave knowing exactly what your ticket included and whether any partner follow-up is optional.

Guests choose one of three plainly named live briefs at a staffed Signal Desk; each brief ends with a physical or written response that becomes the prompt for a short peer exchange, so the partner supports a useful interaction rather than a passive display.

Creation prompt

Host a Signal Desk Session for 36–60 guests: a paid, partner-supported evening where each guest chooses one 15-minute live brief, completes a low-pressure prompt with a host, meets others on the same track, and receives only the benefits, products, and follow-up that the ticket and partner terms state in advance.

Best for
Independent shops, studios, bookshops, maker spaces, coworking venues, neighbourhood businesses, and community programmes with a legitimate partner fit and confirmed public-event permission
Size & time
36–60 guests across three repeated briefs of six to ten guests each, subject to the confirmed room, staff, and access plan · 90 minutes: arrival and choice, two hosted 15-minute brief rounds, peer exchange, optional partner path, and a short close
Suggested entry model
Paid ticket for the timed hosted brief and listed materials · partner samples, offers, email sign-up, photography, and retail are optional and separately disclosed

Host checklist

  • Write a partner agreement before promotion: contribution, fee or in-kind value, named deliverables, cancellation, logo use, approved claims, product safety, staff roles, insurance, and who approves final event copy all need owners.
  • State the ticket inclusion in one sentence before checkout. Do not imply that every guest receives a product, discount, prize, consultation, or future access unless the quantity, eligibility, fulfilment, and refund treatment are confirmed.
  • Keep personal-data collection separate from entry. Use an optional, unticked partner follow-up choice with a short privacy notice; do not make a phone number, social post, or sales conversation a condition of participating in the booked brief.
  • Plan for access and pressure levels: seated and standing options, readable instructions, quiet waiting space, a no-photo path, an alternative task, and a clear way to leave or rejoin without a public explanation.
  • Use an original name, copy, set design, prompts, and materials. Do not imply a relationship with BilibiliWorld, Bilibili, PlayStation, the source booth, its games, its characters, or its exhibitors.

Questions hosts ask

Does a Signal Desk need a sponsor?

No. The same short, chosen brief can run without a partner. If there is a partner, its contribution and guest-facing role should be stated before a ticket is sold.

Can a partner ask guests for email addresses?

Only through a clearly optional, separate choice with a concise privacy notice. Basic ticket entry and participation should not depend on marketing consent.

Can I use a famous game, character, or booth theme?

No. Create your own name, prompts, visual identity, and materials, and do not imply a relationship with the reported convention, its organizer, brands, games, or exhibitors.
